Helpful tips before you submit a Bid Request

Buyer's Guide

This section is intended to help you gather the information you would need in order to submit a new bid to PlanetBids.

These are all the questions you will be asked when you decide to submit a bid in order to receive quotes from other registered qualified members. So, you may want to print this page and refer to it as you get ready to submit a bid for the first time!


Terminology to keep in mind as you read along:
Prospective bidders - other PlanetBids registered members that are interested in giving you a quote for your request.
Bid Request - same as quote request.

Type of bid:
Service - If your request is only for services to be performed which calls for repeat service over a period of time, then you should select "service" for type of bid. A good example is if you are looking for quotes on service station maintenance for a period of 2 years with a 1 year extended option. Or, if you need to hire janitorial services for a facility for a period of 3 years with 2 year extended option.

Non-Service - If your request involves a combination of services which may include labor, material, equipment, professional services, etc for the duration of a specific project...then you would select "Non-Service" for type of bid. Non-Service Bid Requests are usually for a one time or per project request. A good example is if you are looking for a paving contractor to re-pave a parking lot. Another example would be if you need transportation services for a specific project that calls for 10 10-wheeler dump trucks to transport dirt. Even though both of these examples sound like "service" type of bids, these services needed are only being contracted for the duration of a specific project.

State where project is in:
You need to know in which state services will be performed that you are requesting. For example, if you are planning on bidding for a project and are gathering sub-quotes from other sub-contractors, then you need to specify in which state the project is in.

Category:
Simply select a category that best describes the type of services you are requesting. If you are looking for Air Conditioning units along with installation, then you would select "Air Conditioning". If a building needs to be constructed from ground up and you are looking for a general contractor, then you can select either "Construction" "Commercial Building" or "Residential Building".

Project Title:
Give a title to your project that best describes your request. Example: "Parking Lot Pavement", "Electrical Services Needed for a Medical Facility"

Project/Invitation No:
If you have assigned an internal number to your request, then you can put it here. Keep in mind that this is your own internal number that helps you to keep track of your own Bid Requests.

Project City:
In which city is the service(s) or request(s) to be performed.

Project County:
In which County is is the service(s) or request(s) to be performed.

Approximate Budget Amount:
If you have an estimated value to your Bid Request, then you can place it here. It is up to you to let potential bidders know approximately what you think services rendered should cost. For example, if you are requesting bids or quotes for a building to be constructed and you have come up with an estimated cost budget of $175,000, then you can choose to put this amount here.

Start or Delivery Date:
When do you expect services or project to start. Or if you are requesting materials or supplies for a specific project, when do you expect them to be delivered.

Project Duration:
How long do you think your request will last. Once again using the example of constructing a building, if you expect project to be completed within 3 months, then you enter 3 months for project duration. If you are expecting delivery of material or supplies for a specific project over the duration of project, then specify the duration of project.

License Requirements:
Specify the type of license prospective bidders must have in order to fulfill your request. If you are requesting flooring services from a licensed flooring contractor, then be sure to indicate it here.

For example, here are license classifications for the State of California:
Class A- General Contractor
Class B - Building Contractor
C-2 Insulation and Acoustical Contractor
C-4 Boiler, Hot Water Heating and Steam Fitting Contractor
C-5 Carpentry Contractor
C-6 Cabinet and Mill Work Contractors
C-7 Low Voltage Systems Contractor

Minority Requirements:
If your request requires that it must be fulfilled by certified minority contractor, then please select from one of the options provided. For example, if you are planning on bidding for a project yourself and are looking for sub-bid quotes from certified minority contractors, then you would indicate it here.

Briefly Describe Scope of Services:
Describe in your own words scope of services for your bid or quote request here. Give enough specifics about your request so that prospective bidders can give you good quotes. Remember that if you choose not to be contacted by prospective bidders, then they will not know who you are and will not be able to get in touch with you to ask specific questions about your request.

Other Details:
Provide prospective bidders with other details about your request that you might think are important. For example, if your Bid Request calls for the construction of a new building with a highly qualified building contractor, then you may want to indicate here that prospective bidder must have 10 years of building construction experience and give a minimum of three referrals in order to be considered for project.

Additional Notes:
Enter any additional notes or comments about your request. A good use of this field is to reiterate any of the requirements that you have imposed in any of the above questions. For example, if prospective bidder must be a licensed minority contractor, then re-specify it here.

After you complete this section, you will be asked to add the new bid. The next page that will come up is the adding line to items page for the Bid Request. This is where you can further itemize your request in as many line items as you would like. If you are looking for just a lump sum quote, then you do not need to add any line items. We will assume that you are looking for a Lump Sum bid or quote. If however, your request calls for specific unit pricing, then you can breakdown your request into line items.

Here is what you will see:

Adding Items for Excavating and Grading of 100,000 tons of soil. project:
Item No. Item Code Item Unit of Measure Quantity Action

Item No. - this field is automatically incremented by one as you enter each line item.

Item Code - enter a code for your line item, it could be a specification number, SKU number, manufacturers number, etc...or you do not know what to put, then just leave it blank.

Item - enter a brief description of the item you are requesting up to maximum of 80 characters.


Unit of Measure - take a look at the following possible Units of Measure:

Quantity - enter the quantity of your line item request

Action - click on "Add Item" and the item will be added as a line item for your Bid Request.

When you are done, click on the "Click Here" link below to go to your bid list.

Here are some sample line items added for a Bid Request that calls for asphalt & concrete pavement work:
